A client gets your quote from "companyXYZ2019@gmail.com" and hesitates for one extra second. Here's why name@company.ro changes the perception, what real problems it solves, and how to set it up properly.
You send a €800 quote from "joesplumbing1988@gmail.com". The client opens it on their phone, sees the sender, and — without realizing it — a small question pops up: "is this a real company, or a guy doing this on the side?". They say nothing out loud. They just hesitate. A professional email on your own domain — something like `name@company.ro` — erases that exact hesitation before anyone can even put it into words.
The funny part is that most small firms already own the domain. They bought it with the website, it's on their business cards, yet the mail still goes out from a Gmail or Yahoo set up in a hurry ten years ago. Website and email address look like two different companies. Let's fix that.
Why it really matters, beyond "it looks better"
This isn't vanity. An address on your own domain solves concrete problems:
- Trust at first glance — `contact@company.ro` says "there's a real business behind this" without you writing a word. `companyxyz.2019@gmail.com` says the exact opposite.
- You never lose the address — if tomorrow the person who kept the Gmail leaves, or their account gets locked, the company's correspondence doesn't disappear with them. The address is tied to your domain, not to a person.
- You land in the Inbox more often, not in Spam — a properly configured address, with the technical signatures in place (more below), is treated better by the servers that decide what's spam and what isn't.
- You grow without reinventing yourself — today it's just you at `contact@`. With your first hire you add `ana@company.ro`, `invoices@company.ro`, `bookings@company.ro`. Each with its own inbox, all on the same domain.

What "email on your domain" actually is — in short
Your domain (`company.ro`) is like a postal address. Once you own it, you can create mailboxes on it — the same way you'd put several mailboxes in one building. You need three things:
- The domain — which you usually already have (if not yet, that's the first step; here we go one step further, to email).
- A mail service — the place where messages "live" and from which you read them. In practice: Google Workspace, Microsoft 365, or the solution included with your hosting provider.
- A few technical settings (called MX, SPF, DKIM) — invisible rules that tell the internet "mail for company.ro goes here" and "mail leaving from company.ro is genuine, not a fake". These decide whether you land in the Inbox or in Spam. We handle them; you don't need to understand the acronyms.
Google Workspace vs. your host's email — how to choose
Two roads, depending on how much you live in your inbox:
- The solution included with hosting is the cheapest, sometimes at no cost above hosting. It works fine if you get a few mails a day and read them on your phone. It has limits: less storage, weaker spam filters, shared calendar and documents that aren't quite there.
- Google Workspace or Microsoft 365 costs a monthly subscription per address, but you get "real" Gmail/Outlook on your own domain, plenty of storage, calendar, shared drive, and serious filters. Worth it when email is your main working tool or when there are several of you.
Practical tip: if you're on your own and send under 20 mails a day, start with the hosting solution. If email is your business (agents, quotes, daily bookings), take Workspace from the start — a later migration is possible, but better avoided.

Mistakes we see often
- The address with a year or numbers — `company2019@`, `companyofficial2@`. Pick something clean: `contact@`, `name@`, `office@`.
- One mailbox for everything — you mix invoices, clients, and newsletters. At least separate `contact@` from `invoices@`.
- Mail left in the name of the person who's leaving — whoever owns the account owns the correspondence. Keep it with the company.
- Half-done configuration — MX set, but SPF/DKIM missing. Result: you go straight to Spam and can't figure out why clients "don't reply".

Do I need a website to have email on my domain?+
Not necessarily. You need a domain (company.ro) and a mail service. You can have name@company.ro even if the website isn't ready yet. That said, most firms do them together, because the domain is the same and the setup happens only once. If you already own the domain, we can just add the email.
Can I keep my Gmail and still receive mail sent to company.ro there?+
Yes. It can be set up so that messages to name@company.ro arrive in your usual Gmail, and when you reply it still shows up from the professional address. It's a good transition solution, but long-term we recommend a dedicated account on the domain, so you don't mix company correspondence with personal.
Why do my emails land in clients' Spam?+
Most often because of missing or wrong technical settings — especially SPF and DKIM. Without them, recipients' servers can't confirm the mail really comes from your firm, so they treat it with suspicion. Correctly configuring these signatures greatly reduces the problem.
