Calendly vs. Google Calendar directly: which to pick

There are two approaches, and confusing them is what stops most people.

  • Google Calendar is your actual calendar, where you see every event. It isn't built for people to book into it directly, but Google has a separate tool, Appointment Schedule, that creates a public booking page tied straight to your calendar.
  • Calendly is a separate layer that sits on top of your calendar. You connect it to Google Calendar (or Outlook), and it shows only your free slots and writes the booking back into the calendar automatically.

Simple rule: if you want something fast and free and already use Google, start with Appointment Schedule. If you want finer rules (buffers between meetings, different service types, automated confirmations), Calendly is worth it. Both write the booking straight into your calendar.

Connecting the calendar so you never double-book

The most important part, and the most overlooked, is two-way sync.

That means the booking system must read your calendar to hide already-taken hours, AND write new bookings into it. If either direction is missing, you get the nightmare: two clients on the same slot.

In practice:

  • In Calendly, when connecting your Google account, tick the calendar (or calendars) you want it to check for conflicts. If you keep a separate personal calendar, add it to the check, otherwise Calendly won't know you're busy on Saturday.

  • Embed (the calendar built into the page): booking appears right inside your site, without leaving the page. It converts better, because the visitor isn't sent to another domain.

For an embed, Calendly gives you a small snippet you paste into the page. Google also offers a "Book now" button. Practical tip: place the button near every section where people decide, not just hidden on the contact page. The best calendar in the world doesn't help if the button is hard to find.

Notifications, confirmations and fewer no-shows

A booking landing in the calendar is only half the job. The other half is the person actually showing up.

Both systems automatically send a confirmation email and can send reminders before the meeting. Set them up:

  • An immediate confirmation email with the date, time and, if relevant, the online meeting link.
  • A reminder the day before and, ideally, another one a few hours before.
  • A one-click reschedule / cancel option, so the person frees the slot themselves instead of just not showing up.
