How to Monitor Your Business's Online Reputation (Alerts for Reviews and Mentions)

A practical guide to getting notified the moment someone leaves a review or mentions your business online.

A bad review left unattended for a few days does more damage than one you respond to the same day. The problem is that most business owners only find out what's being said online when a customer points it out — or when sales start dropping for no clear reason.

The good news: you don't need to watch Google all day. With a few alerts set up correctly, you get a notification on your phone or email every time a new review appears or someone mentions your business name. In this guide I'll show you exactly what to turn on, in what order, and how to react quickly — without paying for expensive tools you wouldn't use anyway.

Start with your Google Business Profile (the most important one)

This is where most reviews land for a local business, so it's where you begin.

  • Sign in to Google Business Profile with the account that manages your business.
  • Install the Google Maps app on your phone and log in with the same account — new reviews show up there as notifications.
  • Check in your Google account settings that email notifications for "new reviews" are turned on.

The advantage is that you find out almost immediately when someone leaves a star, you can reply from the app in minutes, and you show the customer you're paying attention. A quick, calm response to a negative review often matters more to the people reading it than the review itself.

Set up Google Alerts for web mentions

Reviews are only part of it. Your business name can show up on forums, in articles, on blogs, or on comparison sites — places you'd never see otherwise.

Google Alerts is free and emails you when Google indexes a new page containing the terms you track. Create alerts for:

  • your exact business name, in quotation marks (e.g. "MPO Web Studio")
  • the name plus your city, if you have a common name
  • your own name or that of a public figure in the business
  • possibly a frequent misspelling of the name

Set the frequency to "as-it-happens" so you don't miss anything. It won't catch everything on social media, but it covers the indexed web well, where reviews and articles stay visible for months.

Don't forget social media and platforms specific to your industry

Many mentions appear where Google Alerts can't reach — in comments, in groups, in stories.

  • On Facebook and Instagram, turn on notifications for your page and check the mentions and tags section regularly.
  • Once a week, search your business name manually on every network you're on.
  • If you're in an industry with its own platforms — restaurants (TripAdvisor), travel (Booking), auto services, healthcare — create an account and enable their review notifications.

The trick isn't using ten tools, it's knowing where your customers actually talk. For most local businesses, Google + Facebook + your industry platform covers the bulk of the conversation.

Turn alerts into a few-minute routine

Tools don't help if the notifications get lost among the rest. You need a simple habit.

  • Send all alerts (Google, email, apps) to a single inbox you check daily.
  • Set aside a few minutes each morning to see what came in overnight.
  • Respond to reviews the same day, even with a simple "thank you." For negative ones, reply calmly, publicly, and offer a path to a fix.
  • Keep a short file of recurring criticism — it often shows you exactly what to improve in the business.

Consistency beats complexity. A short daily check keeps you one step ahead of a reputation crisis.

When automation is worth it and how we can help

If you get a lot of reviews or you're on many platforms, checking manually gets tiring. There are paid tools that gather everything into one dashboard and send you centralized alerts — useful, but rarely necessary for a business that's just starting out.

At MPO Web Studio we build websites for local businesses and work remotely across the country. Beyond the site, we can set up your Google Business Profile, review alerts, and a simple notification flow for you, so you never miss an important mention. We start with a free, pre-built demo so you see the result before you pay anything, and pricing is transparent from the start.

If you'd like to talk it through, message us on WhatsApp — we'll tell you honestly what's worth setting up and what you can do yourself.

Frequently asked questions

Do I really have to pay for a monitoring tool?+

No, for most local businesses you don't. Google Business Profile notifications, the Google Maps app, Google Alerts, and the native notifications on Facebook and Instagram cover most of what you need and are free. Paid tools only make sense once the volume of reviews and platforms becomes hard to track manually.

How fast should I respond to a negative review?+

Ideally the same day. A quick, calm, polite reply shows other readers that you care and that the issue was handled, even if the review stays up. How you react matters more than the fact that you got a criticism.

Does Google Alerts catch everything written about my business?+

Not everything. It covers the web pages Google indexes well — articles, blogs, forums, some reviews — but it misses most conversations on social media or in closed groups. That's why you combine it with native notifications on the networks and a periodic manual search.

What do I do if a review is fake or abusive?+

You can report the review directly on the platform (Google, Facebook) if it breaks the rules — for example it's spam, offensive, or has no real connection to your business. It isn't always removed, so in the meantime reply publicly, politely, and factually so readers see your side.
