Once you have a team, a simple online booking button isn't enough anymore. A client doesn't just want "a slot Tuesday morning" — they want that slot with Ana, because she did their color last time. And if the system shows times that are actually taken, or books them with whoever happens to be free, you've lost both the client and their trust.

Only once these three lists exist on paper can you say which slot is truly free. A valid slot means: this person performs that service, they're working then, and there's room for the full duration without overlapping another booking.

The client should be able to choose in whichever order suits them, and the system should adapt.

  • Pick the person first → they see only that person's open times.
  • Pick the service first → they see who does it and when.
  • No preference → they pick "first available" and get the nearest slot across the whole salon.

The "anyone who's free" option is underrated. Many clients don't have a strong preference and simply want the soonest appointment — force them to choose a person and some drop off.

One detail that matters: only show genuinely possible times. Nothing breaks trust faster than a slot that looks open, you book it, and then get a call saying "actually that's not possible." The system has to hide a slot the second it's taken.

The mistake that rings your phone most: double-booking

The most common defect in team booking is overlap — two people grabbing the same slot with the same staff member. It happens when the system checks availability at display time but not at confirmation.

The correct rule: the slot locks on confirmation, not on view. Between the moment a client sees a slot and the moment they tap "Confirm," someone else may have taken it. A serious system re-checks at the last second and, if it filled in the meantime, tells the client honestly "this time was just booked, here are the alternatives."

Other traps to avoid:

  • Buffers between services — without them, staff get booked back-to-back with no breathing room.
  • Days off and holidays — these must block automatically, not rely on memory.
  • Long services near closing — don't offer a 2-hour color 40 minutes before you close.

Confirmations, reminders, and what happens after booking

The booking is just the start. What comes after decides whether the slot sits empty or turns into a client who actually shows up.

  • Instant confirmation by email or WhatsApp, with the person, service, time, and address.
  • A reminder the day before cuts no-shows sharply — people forget, they're not ignoring you.
  • Cancel or reschedule via a link, without calling you. A slot freed in time is a slot someone else can take.

On your side, you need a clear view of each staff member's day — who, what, at what time — and the ability to block time manually (a lunch break, a walk-in booked by phone). Without that, the online system and the reality on the floor drift apart.
