The system has to understand that two bookings "clash" if their ranges overlap, even by a single day. And if you have several copies of the same item — three vans, five bikes, two identical spaces — availability is calculated against stock, not a simple yes/no.
In practice that means:
- each unit has its own calendar of booked days;
- the customer only sees what's genuinely free for the chosen period;
- when every copy is taken, the period shows as unavailable, not "request a quote."
The availability calendar: how you prevent overlaps
The calendar is the heart of the system. The customer picks a start and end date, and the app instantly checks whether that range is free for the chosen item. If it's taken, it won't even let them submit the booking — that's how double-bookings disappear.
Two details many people forget, and that make all the difference for rentals:
- Turnaround time (a buffer) between rentals — an hour or a day for cleaning, inspection, refueling. The system adds it automatically, so you never hand over an item that just came back.
- Pickup and return times — a rental "from the 3rd to the 5th" needs to know at what hour it starts and ends, otherwise the calendar gets confused at the edges.
A calendar built properly enforces these rules without relying on your memory.
Date-range pricing, deposits, and advance payments
With rentals, price depends on duration — it's not fixed. A useful system calculates the total itself and stays transparent with the customer.
Worth setting up from the start:
- Daily / weekly / monthly rates, possibly lower for longer periods.
- A minimum rental period (e.g. at least 2 days) and, where relevant, different weekend or seasonal rates.
- The deposit shown clearly, so the person knows upfront.
- Advance payment online vs. paying at pickup — you can take a card deposit to hold the booking, with the rest paid in person.
For payments, Stripe is a clean and safe choice: the customer pays by card, you receive the money in your account, and you never touch their card details. Everything else (deposit, documents) can be handled at handover.
From booking to contract: documents, terms, and reminders
A confirmed booking is only the beginning. A well-designed system helps you afterwards too:
- Automatic email confirmation (and WhatsApp, if you like) with the period, item, price, and pickup address.
- Collecting the required documents — for cars, the driver's license and ID; for expensive equipment, a copy of an ID. You can ask for these in the form or at handover.
- Terms and conditions the customer ticks when booking (who pays for damage, what happens if they're late).
- A reminder before return, so the item comes back on time and the next customer isn't left waiting.
