Website for construction equipment rental: how to show your fleet, daily rates and real-time availability

A construction equipment rental website doesn't sell design. It answers the three questions every contractor asks on the phone: do you have it, what's the daily rate, and is it free this week. Here's how to put all three on screen, and what such a site costs.

A dispatcher at an equipment rental company picks up the phone dozens of times a day to say the same three things: „yes, we have a mini-excavator”, „it's 180 lei a day” and „hold on, let me check if it's free Thursday”. Each call takes a few minutes. Some of them turn into nothing, because the caller already rang two other yards and rented from whoever answered first, clearly, with a price.

A construction equipment rental website isn't a pretty brochure. It's the dispatcher who never gets tired: it shows the fleet, puts the daily rate next to every machine, and lets the contractor see for himself whether the equipment is free for the dates he needs. Why a contractor audience changes everything

Event rentals (chairs, tents, tables) and equipment rentals look like neighbors, but the customer is completely different. The contractor:

  • searches for the exact machine, not for an „atmosphere” — he types „12m aerial platform Cluj” or „plate compactor rental”, not „solutions for my project”
  • decides on price and availability, in that order, in under a minute
  • comes back — a contractor who rented a plate compactor last month needs a mini-excavator this month
  • searches from the site, on his phone, with dirty hands and no patience for fiddly menus

That means a site built for an events company is wrong for you. You need a technical catalog, not a moodboard.

The equipment catalog: the centerpiece

The heart of the site is the machine list. Each piece deserves its own page, not a photo crammed into a gallery. A good equipment page has:

  • a clear name and category (mini-excavator, articulated boom lift, generator, plate compactor, vibrating plate)
  • the specs that matter on site — weight, digging depth, working height, power, width to fit through a gate
  • 2-3 real photos of your actual machine, not manufacturer catalog shots
  • the daily rate, and if you have them, weekly and monthly too
  • what's included — delivery to site, operator, fuel, or not

Grouping by category, with a simple filter (machine type, city, price range), turns a stack of PDFs into a catalog the person browses himself in two minutes.

Daily rates: put them on screen, not on the phone

The biggest mistake I see at rental firms is „price on request”. The contractor who sees „call for a price” closes the tab and rings the competitor who shows 180 lei/day. Not because it's cheaper — because it's simpler.

The rule we work by: any element that forces the visitor to call before he can decide must be removed, if it can live on the page in writing. Show:

  • the base daily rate, visible next to each machine
  • the sliding scale — 1 day, 2-6 days, a week, a month, if you price long rentals better
  • what's not included — VAT, transport, deposit, so nobody feels tricked at pickup

If you have volume-negotiated prices, put an indicative rate and a clear „request a quote” button. A rough number beats „on request” every time.

Availability: how „real-time” you can afford

„Real-time availability” sounds like expensive software, and often you don't need it. There are several tiers, depending on fleet size:

  • Simplest — a manual status on each machine: „available” / „rented until the 12th”. You flip it from the admin in 10 seconds. Honest and enough for a small fleet.
  • Availability check form — the client picks the machine and dates, you get the request on WhatsApp or email and confirm. Not automatic, but it catches the request before the competitor loses it.
  • Booking calendar — for bigger fleets, a per-machine calendar that automatically blocks booked days. Costs more to build, but takes half the calls off the dispatcher.

The honest advice: start with manual status and a form. Move to an automatic calendar only when volume truly demands it. Don't pay for complexity you won't use.

What else the site needs

Beyond the catalog, a few things separate „another website” from a tool that brings requests:

  • coverage area — sites always ask „do you deliver to Turda?”. A map or a list of towns saves a call.
  • rental conditions — deposit, ID, advance, pickup/drop-off hours, so the person shows up prepared
  • a fixed WhatsApp button, always visible on mobile, for the quick request from the site
  • trust — the company, years in business, a few real sites where your machines worked
