I don't have turnstiles or any hourly records. How do I know which slots to mark as “free” and which as “full”?+
Count for two weeks. On a sheet at the front desk, every half hour, whoever is on duty writes down how many people are in the gym — one number, nothing more. After fourteen days you have the pattern: a peak longer than you thought, a morning busier than it looks, a Friday evening almost empty. You set the thresholds for the three colours based on how many machines and benches you have. And when the season or the minibus timetable changes, you count for another week and move the colours.
I want a cheaper membership for the hours between ten and three, when the gym is empty. How do I show it without upsetting full-membership holders?+
Name it after the hours, not the discount: a “daytime membership”, valid Monday to Friday within that window. Put it in the same table as the others, with the hours spelled out, and on the weekly map its window falls exactly on the “free” colour. Full members see that they're getting the freedom to come anytime; people with daytime availability — retirees, shift workers, parents with children at kindergarten — get an option that suits them. And you fill the dead hours without touching the peak.

In the same table, on two rows: one for the machines, one for the class room. Someone coming for Pilates doesn't care how many benches are free, and someone coming for weights doesn't want to find out at the door that everyone is at the six o'clock class. The only extra is the automatic version, where the colours are calculated from card entries, because it needs a link to your access system; for that one, you get the figure in writing up front.
