At its core, a digital gift card is a unique code tied to a value. The customer buys it, receives a code by email (often with a nicely branded PDF), and at the shop that code becomes a discount equal to its value.

- Single-use: the full value is spent on first use. Easy to manage.
- With a balance: the customer can spend part of it, and the rest stays on the code for next time.
Unlike the old paper voucher, a digital one can't really be "lost", can't be usefully photocopied (if you verify it properly), and you can track it in real time. For a local shop, the balance version usually brings more repeat visits.
The full flow: from button to code in the inbox
On your site, the steps for the customer are short:
- Pick a value (fixed amounts, or a custom sum).
- Optionally add a message and the recipient's name.
- Pay by card.
- Instantly receive the code by email plus a PDF they can print or send over WhatsApp.

This is the real fear, but the fix is simple. You don't necessarily need a smart cash register. You need one single place where you check the code.
The most convenient: a verification page on a phone or tablet, where staff type in (or scan via QR) the code and instantly see:
- whether it's valid,
- what balance it has,
- whether it's been used.
At checkout, staff enter the amount spent and the balance drops automatically. If it's a single-use card, you tap "mark as used" and you're done.
The golden rule against fraud: the code must always be checked and consumed in the system, not merely "read" off the customer's phone. That way an old screenshot is worthless, because the real balance lives in your database.

Two things are worth understanding upfront, ideally with your accountant.
VAT. In the EU (and Romania), gift cards split into two categories. A single-purpose voucher — where you already know what's being sold and at what VAT rate — is generally taxed when it's issued. A multi-purpose voucher — usable across products with different rates — is taxed at redemption, when the customer actually buys something. Most small shops land in the second category.
Expiry. The money you take in is essentially an advance for a future product. You may set a validity period, but be fair and transparent — show it clearly at purchase. Clear terms protect both you and the customer, and reduce disputes down the line.
