How to take a deposit or a paid booking straight from your website, without an online store
You don't sell products, you sell time and services — but you still want the money in before the client goes quiet. Here's how to add a payment link or a booking with a deposit to a brochure site, what's legal in Romania, and what it costs.
The most frustrating moment for a service business isn't when the client says "no." It's when they say "yes" and then vanish. You blocked out Saturday morning for a photo session, turned down two other requests, and on Thursday night the message lands: "sorry, something came up." The slot stays empty — and you already lost the clients you turned away.
The fix isn't an online store. You're not selling 400 products with stock and shipping. You're selling your time, an intervention, a consultation — and you want a clear signal that the person is serious: a paid deposit, or the booking settled up front. Between a "brochure site" that just looks good and a full "online store" there's exactly this gap, and it's filled by a simple payment link.
The difference between a store and a payment link
An online store means a product catalog, a cart, shipping calculations, stock, VAT on every item. For a photographer, a plumber, a clinic or an event planner, all that infrastructure is dead weight. You need something else: a single amount, paid at a clear moment, for a clear service.
That's what a payment link does. You generate it once, put it on the site under a button ("Book with a €150 deposit"), in your quote, or straight into WhatsApp, and the client pays by card in seconds. No cart, no catalog, none of the headache of eCommerce.
Two scenarios cover almost every service business:
- The deposit that locks the date — the client pays 20–50% to reserve your day. No payment, no slot. Simple and fair.
- The fully paid booking — for short, fixed services (a 45-minute consultation, a session). The person picks a time, pays, gets the confirmation. No lost messages, no "I'll get back to you."
The rule we work by: every step between the client's decision and the actual payment has to go. The fewer clicks until "paid," the fewer empty hours in your calendar.
What it actually looks like on the site
You don't need a complicated platform. On an ordinary brochure site we add one of these:
- A "Pay the deposit" button wired to a payment processor (Stripe, or partner banks that offer payment links). The client clicks, enters the card, done.
- A booking + payment form — the person picks the service and time from a calendar, and pays at the end. Ideal for clinics, consultants, salons.
- A manually sent link — want nothing on the site? You generate a payment link each time and send it over WhatsApp or email. Cheapest to start, more work for you.
The money lands straight in your business account. We don't route it through intermediary accounts, we don't hold your takings — we build the mechanism, you control the money.
The legal part, short and without the scare
To collect money for services in Romania you need a legal form — PFA, II or SRL. You can't invoice as a plain individual. If you're just starting, a PFA opens quickly and is enough to begin with.
A few things to keep in mind, grounded in plain legal common sense, not promises:
- The invoice stays mandatory. A payment link collects the money, but you still have to issue an invoice. It connects easily to invoicing software (for example Oblio) and to e-Factura.
- A deposit gets invoiced. For a deposit you issue an advance invoice, then reconcile it at the end. Your accountant tells you exactly how — the on-site system doesn't get in the way.
- Your refund / cancellation policy must be written clearly. If you ask for a deposit, state in black and white what happens if the client cancels: kept, refunded, moved to another date. A client who knows the rule up front won't argue later.
- Terms & conditions + privacy — simple pages, but necessary when you collect online. We prepare them along with the site.
We don't give legal or tax advice — that's what your accountant is for. We give you the technical mechanism that respects the rules and ties into invoicing.
What it costs to put this on your site
It depends where you start. If you already have a site, we add the payment/booking module on top. If you start from scratch, we build it in.
| What you need | From (€) |
|---|---|
| Brochure site with a deposit button | 490–890 |
| Landing page for one service + payment | 290–490 |
| Online bookings with payment (calendar) | included in the project, discussed case by case |
| Monthly maintenance | from €29/month |
The payment processor (Stripe and similar) keeps a small fee per transaction — that's their charge, not ours, and you pay it only when you actually collect. No sale, no fee.
If you'd like to see how it would look for your case first, we build you a free demo — a trial site with the deposit button in place, on your real service, so you feel the flow before you decide anything. Also see how much a website costs for the full picture, or why you need a website if you're still on the fence.
Is it worth the effort?
Think about a single month. How many hours did you lose to no-shows? How many clients said "yes" and disappeared? If a €150 deposit had kept even half those hours booked, the mechanism pays for itself in the first week.
A deposit isn't distrust of the client. It's a gentle filter: whoever pays, shows up. The rest spend their indecision on someone else's time, not yours.

Frequently asked questions
Do I need an online store to take a deposit?+
No. An online store is for product catalogs with stock and shipping. For a deposit or a paid booking you only need a payment link tied to your site — a single amount, paid once, for one service. It's far simpler and cheaper than eCommerce.
Do I need a registered business to charge online?+
Yes. To legally collect money for services in Romania you need a legal form — PFA, II or SRL — and you issue an invoice for every payment. If you're just starting, a PFA opens quickly and is enough. We build the technical part; for the legal form and invoicing, your accountant supports you.
Does the money go to you or straight to me?+
Straight to you. We connect the payment button to your own account through the payment processor (for example Stripe). We don't hold your takings and don't route money through intermediary accounts — we build the mechanism, you control the money.
What happens if a client pays the deposit and then cancels?+
You decide that, through the cancellation policy we write clearly on the site: the deposit can be kept, partly refunded, or moved to another date. The key is that the rule is visible from the start so there are no disputes. On the invoicing side, the deposit is reconciled with your accountant's help.
How much does it cost to add a deposit button to my existing site?+
It depends on the site. If you already have a brochure site, we add the payment or booking module on top. A new brochure site with a deposit button starts from €490–890, and a landing page for a single service from €290–490. The processor keeps a small fee per transaction, paid only when you actually collect. The easiest way is to let us build you a free demo for your case.
