Invoicing and e-Factura connected to your site: how to automate documents after an order

An order lands on your site, and the invoice plus the e-Factura leave on their own, to the client and to ANAF's SPV. How to connect WooCommerce or your form to Oblio or SmartBill so you never type anything by hand.

The most annoying part of an order is not the sale, it is what comes after: you open your invoicing app, copy the name, the tax ID, the address, the products, issue the invoice, email it, and then upload it to the SPV for e-Factura too. Three times a day, fine. Forty times a day, at night, you end up with a pile of un-issued invoices and a client asking "where is my invoice?".

Since 1 January 2025, according to Romania's Ministry of Finance, e-Factura is mandatory for sales to individuals (B2C) too, not just between companies. That means the document has to reach ANAF's SPV, not only the client. The good news: this whole chain can be wired straight into your site, so you never touch the keyboard.

What "invoicing connected to your site" means

The idea is simple: your site does not create the invoice itself, it sends an order to the program that knows how to make it legally. The order lands on the site, and the site automatically sends the data to Oblio, SmartBill or FGO. The program issues the invoice, files it in the SPV for e-Factura, and emails it to the client. You see it all done, without typing a thing.

The flow looks like this:

  • The client places the order on the site (shop or form)
  • The site sends the data to the invoicing app, via its module or API
  • The invoice is issued with your series and number, fiscally correct
  • The e-Factura goes to the SPV automatically, without you logging into ANAF
  • The client gets the PDF by email within seconds

Our working rule: any step you do by hand more than ten times a week is a step that has to disappear.

Online shop: the ready-made module

If you run a WooCommerce shop, this is the easiest case. Both Oblio and SmartBill offer a ready-made module: you install it, enter the connection details (email + the API key from your invoicing account) and that is it. For every paid order, the invoice is issued on its own and goes to the SPV.

A few things that matter in practice, so it runs clean:

  • Product codes (SKUs) on the site must be identical to those in the invoicing program, otherwise the invoice comes out with the wrong products
  • VAT rates must be set the same in both places
  • Individual vs. company — the checkout form must ask for the tax ID when the client is a company, so you do not issue a B2C invoice when it was B2B

If you sell simple products and want everything automatic from day one, a Shop from 690 € with the invoicing module dialed in takes the biggest headache out of the back of the sale.

Presentation site or form: possible without a shop

You do not need a full shop to automate invoicing. Many service businesses — a clinic, a workshop, a consultant — take orders through a simple form or a payment button. Invoicing can be wired there too.

When someone fills in the form and pays, their data can go straight into Oblio or SmartBill via API, and the invoice leaves just as automatically as with a shop. It is ideal for a Presentation site (490–890 €) that takes a few orders a day and does not want the complexity of a whole shop.

Oblio vs. SmartBill: in short

Both do the same main job — issue the invoice and send it to the SPV for e-Factura, automatically. The choice depends more on your accountant and on what you already use. A few points:

  • Oblio — free WooCommerce module, open API, direct e-Factura integration once you enter the token from your digital certificate
  • SmartBill — very widespread, invoices to individuals are automatically included in what is sent to the SPV since 2025, without changing settings
  • FGO — another option with an API, the integration architecture is almost identical

Our honest advice: ask your accountant what you already use, and we connect the site to that. You do not switch invoicing programs for the sake of the site.

Frequently asked questions

Does the site issue the invoice or just order it from the invoicing program?+

The site does not issue the invoice in the legal sense. It sends the order data to an invoicing program (Oblio, SmartBill, FGO), which issues the invoice with your series and number and files it in the SPV for e-Factura. That keeps you fiscally compliant, and the site only triggers it automatically.

Does the e-Factura go to the SPV on its own or do I still log into ANAF?+

If the invoicing program is set up with the digital certificate and the e-Factura integration, the document goes to the SPV automatically for every invoice. You no longer log into the ANAF portal by hand. Since 1 January 2025, according to Romania's Ministry of Finance, this is mandatory for sales to individuals too.

Do I need an online shop or does a simple form work?+

It works without a shop. A form or a payment button can send the client's data straight into Oblio or SmartBill via API, and the invoice leaves just as automatically. A shop is useful when you have many products and stock; for services, a form is often enough.

What happens if the client is a company and wants an invoice on the tax ID?+

The order form must ask for the tax ID when the client is a company. When the data reaches the invoicing program, the invoice is issued to the company (B2B), not to an individual. We configure this at install so you do not issue the wrong type of invoice.

How long does it take to connect invoicing to my site?+

It depends on the platform. On WooCommerce with the ready-made Oblio or SmartBill module, the basic integration is fast — a few hours of setup and testing. On a custom site with the API it takes longer, because product mapping and VAT rates have to be matched. We give you the exact timeline once we see which program you use.
